Broome Street Academy, a charter high school located in New York City, is seeking an Administrative & Operations Assistant to join our team. In this role, the successful candidate will provide administrative support to the Director of Operations and assist in managing the main office, school supply inventory, student transportation, student lockers, and other related tasks.

The Administrative & Operations Assistant is a creative go-getter who prefers to fill “downtime” with projects and problem-solving. This person will support the Director of Operations with the coordination of the school’s nonacademic functions. This person is a fast learner with an upbeat personality, a willingness to learn anything, and enjoys the process of problem-solving and thinking on their feet. This person will be part of the Operations Team and will perform administrative and operational tasks.

Responsibilities:

  • Serve as the school receptionist, answering phones and greeting visitors. Ensures all incoming calls are answered in a professional, courteous manner and messages are followed up with and disseminated appropriately
  • Serve as the secretary and provide administrative assistance to the Director of Operations, including making, scheduling, and arranging appointments, meetings, and conferences, and independently composing letters, memoranda, and bulletins as directed
  • Support all Main Office functions including mail distribution, copying, correspondence, mass mailings, filing of invoices, and updating trackers as needed
  • Manage the school supply distribution system and inventory, informing the Operations Coordinator of supplies needed for ordering in a timely manner
  • Maintain supplies and cleanliness in teacher workspace including replenishment of coffee, cups, and utensils
  • Manage MetroCard distribution and inventory to ensure accurate ATS reporting
  • Manage and prepare trip passes, secure busing, and/or DYCD (Department of Youth and Community Development) passes for all planned school trips.
  • Create permission slips for staff going on school trips to distribute to parents/guardians and students to sign
  • Communicate and log student absences and early dismissal passes
  • Maintain attendance records to distribute to the Attendance Team as needed.
  • Liaise with facility staff to ensure the school is clean and submit work orders into RemedyForce as needed for repairs/events and manage the work order list
  • Manage school health records to ensure compliance by creating and sending letters to parents/caregivers regarding required immunizations, health forms, and vision screening (as needed)
  • Help organize and oversee school activities during and after school, including caregiver conference nights, fundraisers, cultural events, and celebrations
  • Provide operational support to the school as needed, including but not limited to, coverage of the Main Office, lunch duty, and hallway support as needed
  • Assist the Operations Coordinator in organizing school events and activities, creating sign-in sheets and/or materials needed
  • Performs other tasks as assigned by the Director of Operations and Operations Coordinator.

 Requirements:

  • High school diploma or equivalent; Associate’s or Bachelor’s degree preferred
  • Minimum of 2 years of experience in an administrative or operations support role
  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal skills
  • Bilingual – Spanish preferred, but not required
  • Proficient in Microsoft Office Suite and Google Suite
  • Ability to work independently and as part of a team
  • Knowledge of RemedyForce or similar work order software is a plus
  • Flexibility to work occasional evenings, early mornings, and weekends as needed
